How can I share my opinions, suggestions, concerns, or complaints with the Preparatory Program management team? You may use the following channels to communicate with the management:
What should I do if I believe I have experienced discrimination, violence, or harassment? Report the situation to the Foreign Languages Department without delay. These matters are treated with the highest priority and confidentiality. If necessary, an official process will be initiated through the Online Petition System. Applications must be made within 15 working days of the incident and are processed within 5 working days at the latest.
How can I submit a complaint about my teacher? First, try to resolve the issue directly with your teacher. If the problem persists, you may submit an Online Petition along with any supporting documents. Your case will first be reviewed by the Administrative Coordinator, and if needed, referred to the Petition Committee.
What if I have a problem with my classmates? You may first discuss the matter with your class representative or teacher. If the issue is not resolved, you may file an Online Petition. After evaluation, the decision will be communicated to you in writing.
What is the time limit for submitting an official complaint? Complaints must be submitted within 15 working days of the incident. Late submissions are only accepted if a valid reason and supporting documentation are provided.
How are complaints reviewed and how long does the process take? All applications are processed within 5 working days. An initial review is carried out by the Administrative Coordinator. If deemed appropriate, the case is evaluated by the Petition Committee. The decision is then communicated to the student in writing through the system.
What if I disagree with the outcome of my complaint? You may appeal the decision. First, you can request a re-evaluation. If the issue remains unresolved, you may escalate the case to the Office of the Dean of Students.
Who is the student representative, and how are they slcted? At the beginning of each module, students elect a representative by class vote. The representative communicates the class’s opinions, suggestions, and complaints to the administration, acts as a bridge between students and management, and supports the resolution process when needed.
Does the student representative meet regularly with the Head of Department? Yes. Regular communication is maintained through Open Door Hour sessions and scheduled meetings.
